Department Distribution Lists 

Each department has staff lists that are automatically maintained and populated from information in UWSP's Department Information Management System (DIMS).

Who Can Use the Lists 

There are no restrictions on UWSP accounts sending to most lists. Messages will be rejected if sent from an off-campus internet address or unauthorized UWSP account.

Some department lists do not display in the Outlook Address book until you change your view to display lists by Department classification.

To view the membership of a list:

Open the Outlook Address Book.

Select the Address Book drop-down field and select the Classifications by Department address list at this path:

    Classifications
      Classifications by Department


In the Address Book Search box, begin typing the department name to display associated lists.


Double-click the target distribution list to open and display members.

Naming Conventions for Department Lists 

A department distribution list name consists of the DeptName followed by a “-“, followed by the appointment type, followed by the word “List” (examples provided below). 

There are seventeen lists that exist for each department and you can send email to any of the lists.  But to avoid confusion, only two lists appear in the main Outlook/OWA Address Book - the Faculty/Staff List and the Associated List.  To send messages to the remaining 16 lists, address a message to the list’s alias@uwsp.edu email address or select the list from the Outlook/OWA address book by navigating to “All Address Lists/All Groups/Classifications/Classifications by Department.” 

DeptName – Department Name as close as possible to what is shown in DIMS
DA – Department Abbreviation – used as the base for all email aliases for the department

Lists Located in the Main Outlook/OWA Address Book:

This list allows you to include individuals that do not have Faculty, Academic Staff, or Classified appointments and receive messages that are sent to the Faculty/Staff List outlines above.

Send a Message to a Department Distribution List from the Main Address Book

If you are using UWSP's Exchange/Outlook client, choose the "Department List Name" from the global address list.

  1. Create a new message.
  2. Click the "To:" button and the "Select Names" dialog box will be displayed.
  3. Begin to type the name of the advisor distribution list in the "Search:" box and the system will attempt to find the closest match to what you are typing.
  4. In the address display box that appears, select the list you want to send a message to.

 

  1. Press the "To ->" button to add the list as a recipeint on the message.

Send a Message to a Department Distribution List Not Found in the Main Address Book

If you are using UWSP's Exchange/Outlook client, choose the "Department List Name" from the global address list.
  1. Create a new message.
  2. Click the "To:" button and the "Select Names" dialog box will be displayed.
  3. 3. Click the arrow key in the Address Book drop down and select the ‘Classification by Department’ address list you can begin to type the name of the department distribution list in the "Search:" box and the system will attempt to find the closest match to what you are typing.
  4. Begin to type the name of the advisor distribution list in the "Search:" box and the system will attempt to find the closest match to what you are typing.
  5. In the address display box that appears, select the list you want to send a message to.
  6. Press the "To ->" button to add the list as a recipeint on the message.

If you do not have access to the UWSP address book from the mail system you are using, address a message following the format shown in the Email Address column in the table above.

Availability & Accuracy

All distribution lists are automatically available in Microsoft Outlook and OWA. The lists are updated every hour based on information in DIMS.

Note: Some lists have been restricted to prevent accidental use of the lists. If you send to a list that is restricted you will receive a Delivery Status Notification (DSN) message back from the system with the information that you are not authorized to send to the list. If that happens, each restricted department maintains a list of additional accounts which can send to these lists. To request access to send to the restricted department you should contact the "owning" department for authorization. The list used to authorize access follows the format "classdept-deptshortname List- DL Senders" (Ex. classdept-ENGL List - DL Senders). Individuals that are a member of this list have the ability to send to all lists for that department.
