How to Apply for a Grant

The Office of Research and Sponsored Programs (ORSP) can help you find funding opportunities, navigate the grant application process, and assist you with UWSP’s internal, grant application review/approval process. Contact ORSP at orsp@uwsp.edu.

Review Your Project with Leadership

Meet with your Dean, Director, or college leadership to discuss your project to determine if the funding opportunity supports your research goals, meets department priorities, and contributes to the mission of the university. 

Review the Grant Funding Opportunity & Create a RAMP Record

Review the funding notice or Request for Proposals (RFP) to determine:
-if your project is eligible for funding
-the application due date, available funding, and funding period
-what documentation is required for submission i.e. narrative, budget, budget narrative, letters of support, Federal/state forms, etc.
-how the application will be submitted, many funders require electronic submission through their own portal

Create a record in RAMP and begin working on the grant budget within RAMP.
ORSP is available to help review the grant guidelines while you are developing your application and budget.

Please note: The internal review/approval process can take over a week. Ideally, the completed grant application will be uploaded into the RAMP system about two weeks prior to the grant application due date.  

Develop the Funding Application and Budget

Begin developing the grant application narrative, budget, budget narrative, and other required forms, referencing the proposal guidelines and the scoring criteria in the Request for Proposals (RFP).

Note with consistent changes in the federal grants landscape, most federal agencies require training in Research Security, Responsible Conduct of Research, or both. It’s best practice to assume both trainings should be completed for all named personnel included in a federal grant proposal before the application is submitted to the sponsor.

Create the Budget in RAMP

Develop your budget within RAMP as it will auto populate the most current staff salaries and easily allows for calculating percent of staff time pledged to the grant, fringe benefit amounts, and indirect rates.

Complete the RAMP Record

Review the UWSP Submission Documents checklist and upload all required documents into the RAMP record. Required documents include:
-the grant request for proposal (RFP)
-grant narrative
-budget and budget narrative
-funder required forms
-any required support documentation such as biographical sketches, letters of support, documentation of matching/cost sharing funds

Submit Application for Internal Review & Approval

Click “Submit for Department Review” on the left side menu on the RAMP homepage to submit your proposal for UWSP internal review. Your application materials will be reviewed/approved by the following:

  • ORSP Office – check for compliance with the guidelines set out in the funder’s Request for Proposal
  • Your Dean, Director, or college leadership – review of project alignment with college priorities, review of staff capacity, and review of other college resources needed if funded (i.e. matching funds, other staff time, use of physical space/equipment)
  • Gift and Grant Accounting – review of budget and budget narrative for fiscal soundness
  • Authorized Official, Katie Jore – review of project against UWSP priorities, staffing guidelines, and budget needs

Please note: If Terms & Conditions must be agreed to at time of a Federal grant submission, the UW Office of General Counsel will need to review them. This process may add 7 days to the time needed for review/approvals prior to submission.

Submit to the Funder

Once all internal approvals have been obtained, ORSP will notify you that the proposal is ready to submit.

Depending on the funder’s instructions and the required submission process, you will submit or ORSP will do so on your behalf.

Watch for a Response from the Funder

Contact ORSP as soon as you receive a response from the funder.

Selected for funding?
Email the acceptance information to ORSP@uwsp.edu and call ORSP.
ORSP staff will guide you through the award acceptance process and complete documentation needed to set up accounts in Workday.

Not selected for funding?
ORSP will look for other potential funding opportunities for your research/project.
