Major Distribution Lists

There are four types of major lists, major lists, major by class, major by class by teaching intent, and all majors in a department. Major distribution lists contain the addresses for all students currently declaring a given undergraduate or graduate major.  Major by class distribution lists contain the addresses for all students currently declaring a given undergraduate or graduate major by their class standing, i.e. Freshman, Sophomore, Junior, Senior or Special.  Major by class by teaching intent distribution lists contain the addresses for all students currently declaring a given undergraduate or graduate major by their class standing, i.e. Freshman, Sophomore, Junior, Senior or Special by their Teaching or Non-Teaching Intent.  Major in a department contain the addresses of all students that have declared a major associated with a department. 

Who Can Use the Lists

No one can see the membership of the lists to ensure student privacy.  Each associated department maintains who can send to these lists.  To request access to send to the major lists faculty, staff and student organizations should contact the "owning" department for authorization.  The list used to authorize access follows the format "dept-discname List- DL Senders" (Ex. dept-ENGL List - DL Senders).  Individuals that are a member of this list have the ability to send to all major lists for that department. 

To request access to send to all UWSP major lists for all deaprtments, please contact the Office of the Registrar.  

Note:  Messages will be rejected if sent from an off-campus internet address or unauthorized UWSP account.

Naming Conventions for Major Lists

A major distribution list name consists of the letters "maj-" followed by the major name (without spaces), followed by either "-UG" or "-GR" for undergraduate or graduate students (examples provided in the table below).

Naming Conventions for Major by Class

A major by class distribution list name consists of the letters "majcl-" followed by the major name (without spaces), followed by either "-UG" or "-GR" for undergraduate or graduate students. Then for undergraduate lists there is an additional suffix of _FR, _SO, _JR, _SR or _SP (examples provided in the table below).

Note: Lists will only be displayed in the address book if there are students that fit into the specific categories.

Naming Conventions for Major by Class by Teaching Intent

A major by class by teaching intent distribution list name consists of the letters "majclti-" followed by the major name (without spaces), followed by either "-UG" or "-GR" for undergraduate or graduate students. Then for undergraduate lists this is an additional suffix of _FR, _SO, _JR, _SR or _SP, followed by a -NT or -TI for non-teaching or teaching intent (examples provided in the table below).

Naming Conventions for Major Lists in a Department

A major list in a deapartment distribution list consists of the letters "majdept-" followed by the discipline name (examples provided in the table below).

Send a Message to a Major Distribution List

If you are using UWSP's Exchange/Outlook client, choose the "Major Name" from the global address list.

  1. Create a new message
  2. Click the "To:" button and the "Select Names" dialog box will be displayed.
  3. Click the arrow key in the Address Book drop down and select the appropriate major address list. Alternatively, you can begin to type the name of the major distribution list in the "Search:" box and the system will attempt to find the closest match to what you are typing.

  4. In the address display box that appears, select the major you want to send a message to.
  5. Press the "To ->" button.

If you do not have access to the UWSP address book from the mail system you are using, you are using address a message following the format shown in the Internet Address column in the table below.

To send a message to all major lists for a department:

Address the message to the master distribution list.  This list includes all majors for a department and follows the format majdept-deptartmentshortname (ex. majdept-ENGL). 

Availability & Accuracy

All distribution lists are automatically available in Microsoft Outlook. The lists are updated nightly throughout the semester from data supplied by the Office of the Registrar.
