General Information

Cancellations and Refunds

All tour cancellations must be in writing. Because we are required to make financial commitments to hotels and airlines well in advance, and because we incur costs depending on when reservations are canceled, the following fee schedule applies per person, per tour:

  • the deposit of $500/person/tour is nonrefundable
  • less than 60 days before tour start 50% of total tour price
  • no refunds or credits will be made for cancellations received after 30 days before tour start, or for no-shows.

Deposits and Payments

A completed reservation form and a nonrefundable deposit of $500 per person per tour are required to confirm your reservation.

Sorry, we are unable to accept credit card payments at this time, however we are working to add this capability in the next calendar year. Upon receipt of the deposit, a confirmation letter and payment schedule will be sent along with other registration materials


Discounts

Early Bird Deadline — Register before December 15 and receive a $200 discount off your trip.

UWSP Alumni — Alumni who have completed degrees at UWSP will receive a 5% discount on the total tour package (airfare not included in the total).

Multiple Registrants — Register 3 or more people with your group or family and receive an additional $100 off your tour price. Applies to only one registration in the group. Registrations must be received and processed at the same time for the discount to be applied.


Eligibility

Past participants have ranged in age from 15 to 84. A spirit of flexibility and adventure are the only prerequisites!


Insurance

Participants may want to consider purchasing short-term traveler’s insurance that covers baggage, accident/life, trip interruption, and trip cancellation insurance.

Trip interruption insurance reimburses you for certain nonrefundable costs should you have to return home because of certain personal reasons or illness.

Trip cancellation insurance reimburses you for certain non refundable travel costs should you need to cancel your tour registration because of illness or accident.

We recommend that you purchase insurance for your bicycle and other material belongings to protect you from theft, loss, vandalism, and any other unanticipated losses.


Transfers

You may transfer your reservation from one tour to another, in the same calendar year, provided space is available. To qualify as a transfer, you must notify UWSP Adventure Tours in writing at least 90 days before your original departure date, after which time our cancellation policy applies.


Travel

All UWSP Adventure Tours start and end at the points specified in each trip description.  UWSP Bicycling and Hiking Adventure Tours shall not be held responsible for or to a participant who leaves his/her tour before its completion.  If a participant leaves a tour after the tour has begun, no refund will be given.

UWSP Adventure Tours reserves the right to make changes to itineraries (and prices) due to unanticipated circumstances.

University Credit

Our trips carry no UWSP credit, although independent credit (graduate or undergraduate) can often be arranged at an extra charge in Physical Education, History, International Studies, Wellness, Health Promotion, etc.
