Women & Science Day

The 2013 Women & Science Day Conference will be held Friday, February 22, 2013, at the UW-Stevens Point campus. Tailored to 7th and 8th grade girls, this conference offers young women a chance to exlpore UWSP for the day and attend three, one hour workshops presented by professionals in a wide variety of science-related careers. Its aim is to give young women early exposure to science careers and highlight that the careers are held by female professionals.

Volunteer Information

Interested volunteers should submit their contact information, volunteer area of interest and availability for Friday, February 24, 2012 on the Volunteer Sign-up Form.   Volunteers with the most availability will be given priority, but we try to include everyone. Spots are limited.

 

Escorts are utilized during the following time frames: 
9:45 am - 10:00 am (from the DUC Laird Room to a campus building)
11:00 am - 11:15 am (from a campus building to the DUC Laird Room)
11:45 am - 12:00 pm (from the DUC Laird Room to a campus building)
1:00 pm - 1:15 pm (from a campus building to the sundial)
1:00 pm - 1:15 pm (from the sundial then to another campus building)
2:15 pm - 2:30 pm (from a campus building to the HEC under the marquee sign)

Presenting:  "An Education in Science Opens Many Doors"

Perusing formal education in science is exciting and valuable. It provides a solid foundation upon which a person can expand and explore new opportunities. The field of science is broad and includes areas such as environmental, physical, medical, education, engineering and others. Many world discoveries, advancements, and change are a result of people's role in science.

Dr. Nelson received a B.S. Degree in Medical Technology at UW-Stevens Point in 1987 and a M.D. Degree from UW Madison in 1991.  She completed an Internal Medicine Residency in 1994 and a M.B.A. from the University of St. Thomas in 2001.

Currently, Dr. Nelson serves as the Chief Medical Officer for the Marshfield Clinic system, responsible for clinical operations at 55 sites. Prior to this, she worked as an internal medicine physician and stared the clinic's first hospitalist program. Leadership roles have included department chair, Chief of Staff, and Division Medical Director.

What can I expect at Women & Science Day?

Women & Science Day is held at UW-Stevens Point and consists of a morning keynote, lunch and three one-hour workshops.  Student groups are escorted to each workshop location by Women & Science Day volunteers. The pre-registered workshops are presented by professional women holding careers in a science or technology field.  Each workshop is meant to be a fun learning experience using hands-on activities and each are sure to be inspiring!

 
Schools typically recruit interested students and bus them to the conference for the day.  Individuals students are welcome to attend, but must have a signed liability form with them.

Exhibitors for 2012 

The 2012 Women & Science Day event will have an exhibit from the UWSP Chemistry Department, with Mike Zach, Professor of Chemistry, along with chemistry students.  Participants will be able to create fun keychains durnig the registration check-in time of 8:00am - 9:00am.

Interested Exhibitors

Interested exhibitors must complete a short online application form.  Exhibitors must provide either science or science career related material or provide a science-related hands-on activity.  All exhibitors will be provided with an 8 foot table and access to an electrical supply.  Submissions will be preapproved by Continuing Education by January 27, 2012.  
 
 
PLEASE NOTE: UWSP Continuing Education does not allow exhibitors to provide direct sales to conference participants. Exhibitors are welcome to share information about services and products, but all sales must be handled through outside channels.  There is no fee to exhibit at this conference.

How Can I Recruit My Students to Attend?

A number of forms were created as tools for teachers to use to recruit student attendance.  Post the event flyer in your school and use the sign up form to help manage your group.  Attach the workshop descriptions and schedule to the form, if you choose.  Click on the forms below to print.
 
Event Flyer  Complete the bottom on this form with your contact information and then post it on a bulletin board or pass it out as a handout.
 
Paper Sign-up Form  Use this form to collect student names, workshop choices, t-shirt sizes and confirm payment.  Then have the form with you by January 27, 2012 to register your students online.  This form will not be accepted as a registration form.  Registration will ONLY be accepted online.  No exceptions.

T-Shirts Available

T-shirts are available for purchase at the time of registration or by submitting an order by February 9 to Samantha Pech at spech@uwsp.edu or fax to 715-3476-3504.  Sizes available are S-XL for $8.50 and XXL for $10.50.  The shirts are black with bright pink imprinting on only the front. 
 

Payment Options

Payment options online include: check and the following credit cards: MasterCard, Visa, Discover and America Express.  We do not need to receive a purchase order number from you if that is how you plan to pay.  If you are paying with a purchase order, please select the check option on the online registration form. You may bring checks to the event for payment. 

Registration Information

Registration opens on January 27, 2012.
 
A note to all registrants:
From the time you select your first Workshop A selection for your first student (seating is reserved for only students), a one hour timer begins.  This timer will HOLD all workshops selected until you fully COMPLETE the payment area (choose either check or credit card).  If you have a large group of kids, try to do as many as you can within one hour and make sure to CONFIRM them by fully completing the payment area.  You need to see the "Thank you" message for confirmation. 
 

Registration is closed.  

Confirmation Letters and Registration Lists

A confirmation email will be sent to the chaperone for each person registered.  Confirmation emails will not contain information on workshops selected, but will have complete program information included on the letter.  Student itineraries are provided at the event.  Please keep track of your students' workshop selections. Emails sent to the confirmation letter email may not be viewed in a timely manner.  Email spech@uwsp.edu if you have questions about your letter or your students' workshops.
 

Each Student Registrant Will Need the Following:

  • Pre-registration of workshops online, preferrably by a chaperone.
  • Registration payment and t-shirt payment (optional)
  • A signed photo and liability form brought with them to the conference. 
  • Have a chaperone, per 25 students
  • Bring a coat suitable for the day's weather and good walking shoes
  • Leave all extra items behind or carry them with you throughout the day

Each Chaperone Will Need to do the Following:

  • Recruit students by utilizing the forms above
  • Utilize the Recruitment forms above
  • Register on January 27, 2012
  • Register yourself as a chaperone
  • Collect payment and liability forms (below) from each student
  • Send in payment and bring liability forms with you to the event 
  • Provide your bus driver or chaperone driver with the campus map and bus parking information below. 
  • Encourage students to wear appropriate clothing for the event (walking shoes, warm clothes and have students keep extra items at home.  In addition, a and keep cell phone usage to a minimum during the event.

Liability and Photo Release Forms

All students must bring a signed Liability and Photo Release Form in order to attend the conference.
A student may attend the conference without a chaperone ONLY if a signed form is brought with them to the conference.
 
Download, print and bring signed forms for each student with you to the event. 

Adult Chaperones

Adults chaperones are assessed the $30 registration fee and are able to visit any of the workshops, but are not able to register for them.  Seating may only be available to students within the classrooms. 
 
We recommend groups of 25 and less have one chaperone, and groups of 25-50 have at least two.

Student Scholarships

A limited number of scholarships are available for students upon written recommendation by a teacher or school administrator.

Special Needs:

If a registrant has special physical or dietary needs that require assistance, please notify us by February 10, 2012 by calling 1-800-898-9472 and asking for Samantha Pech.

Drop-off and Pick-up Times

Please Note: The information on drop-off and pick-up locations is provided to you for the safety of your students. If you choose not to meet at the locations specified by the conference coordination staff, we cannot guarranty the safety.  We will not be able to escort students to locations other than the HEC at the end of the conference.

Bus Drop-off Location and Parking Information

Buses should drop-off students on Reserve St. in front of the Dreyfus University Center (#40 on Campus Map).  Reserve St. is a one way running south.  Buses can ONLY park in Lot Q (in yellow on the parking map), the ONLY parking lot designated for buses.  Students need to be picked up on Fourth Avenue in front of the Health Enhancement Center (#5 on Campus Map) at the end of the day.  
 
NOTE:  Buses need to follow the above rules so buses do not interfere with the city's school busing system at a nearby school on High Street. In addition, there is a busy pedestrian crosswalk by the marque sign on Fourth Avenue.  Please do not block the crosswalk.  

Chaperone Drop-off Location and Parking

Chaperones who drive individual students or small groups can park in Lot X (X on the Campus Map) for $0.50 per hour. Lot X is located on the corner of Fourth Ave. and Fremont St., close to where the students will be dropped off at the end of the day.  At 2:15 pm, please be standing by the HEC waiting for your students to arrive and then walk to your vehicle as a group.  This prevents a lot of confusion.

Cancellation/Substitution Policy

Refund requests must be submitted in writing before February 10, 2012. Refunds after February 17, 2012, will be charged a $25 processing fee. Substitutions can be made at any time, but notification of the substitute as well as the workshops they plan to attend need to be emailed to Samantha Pech at spech@uwsp.edu by February 10, 2012.  The substitute has the option of choosing from the remaining workshops, or utilizing the workshops of the person they are substituting.  No-shows will be responsible for the full workshop fee.  Pre-registration is required for all workshop attendees.  No refunds after February 17, 2012.

Changing Workshops after Registering Online

If workshop changes need to be made after registering online changes will only be accepted until February 17, 2012.  After February 17, 2012, only changes due to the following will be accepted at the registration table:
  • Continuing Education cancelled their selected workshop due to low enrollment or other reason
  • Duplicate workshops appeared on their itinerary

Please keep in mind that workshops are based on a first-come, first-served system, so if you need to change workshops, please verify your students' workshop selections quickly after your register online.  Then email any changes to spech@uwsp.edu prior to the event date.  This limits the amount people at the registration table during check-in.
