Student Organization Outdoor Recreation/Travel Policy

When an event is considered to be Outdoor Recreation/Travel, this event:

1.      Requires the review of the Student Involvement and Employment Office to demonstrate the trips relevance and ensure that purchasing requirements (contracts) have been met.  If applicable, purchasing requirements (contracts) must be in place 12 weeks prior to the start of the trip with the Campus Activities and Recreation Office.

2.      Requires the authorization of the Student Organization Advisor. 

3.      Requires the review of the Campus Risk Management Office for trips that are perceived as needing further consideration and to determine if additional insurance coverage is needed.

 

In addition, trips are required to submit or verify the following items, numbers 1-6,  to the Student Involvement and Employment Office (SIEO) and numbers 1-6 with the Student Organizational Advisor two (2) business days before the trip is scheduled to take place.

 

1.       Submit a list of people on the trip.

2.       Provide emergency phone numbers for people on the trip and also obtain information on how to reach people at the university during the trip (i.e. Transportation, Advisor, SIEO staff) in case of emergency.

3.       Have a cell phone on the trip and have the number logged with SIEO and the organization advisor.

4.       Itinerary of Trip – to include all scheduled events and overnight locations (city) logged.

5.       Medical forms and insurance information of the people on the trip filed with the trip leader and Organization Advisor.

6.       Hold Harmless Forms for all participants on the trip.

 

If needed, submit to SIEO and your Advisor the following:

A.     Wilderness trip leader training or experience for the leader of a trip into the  

wilds.

B.      Inspection records of equipment when needed for a trip (i.e., rock climbing,          

backpacking, etc.).

C.      Provide proof of certification of a person on the trip for CPR, First Aid, 15 passenger van driving.

 

 

 

 

Trips that do not have all these items on file 2 business days before the trip will be required to cancel their trip!

Student organizations sponsoring an outdoor recreation/travel program are required to submit or verify the following list of items to the Student Involvement and Employment Office (SIEO) (first four items on the list) and submit a copy of all items on the list to your Student Organizational Advisor two (2) days before the trip is scheduled to take place.  Trips that do not have all these items on file 2 business days before the trip will be required to cancel their trip!

 

CHECKLIST
